Manitoba Music Job Opportunity: Receptionist | Deadline: Nov 18
PURPOSE
Reporting to the Executive Director and Association and Communications Manager, the Receptionist is responsible for providing administrative and clerical services and support in order to ensure the association’s effective and efficient operations.
RESPONSIBILITIES
Reception
- Work at the reception area answering phones, screening and directing calls, and answering basic inquiries from the public and clients
- Take and relay messages
- Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing
- Maintain office systems (phone, copier, calendar, filing, etc.)
- Greet clients and visitors
- Direct clients and visitors to correct destination
- Ensure knowledge of staff movements in and out of office
- Receive and sort mail and deliveries
- Tidy and maintain common spaces
Administrative
- Assist in the preparation of program materials such as printing and collating of contracts, course materials, marketing materials
- Prepare general correspondence and documents
- Setup and coordinate meetings and conferences
- Prepare facilities for meetings, workshops, and other events
- Record and distribute minutes, notes, and action items during meetings
- Manage daily computer network data backup
- Arrange travel and accommodations for staff
- Manage office furniture, inventory, and supplies
- Provide administrative support to management and other staff
- Setup and coordinate Board meetings, including: ordering food, coordinating reminders and RSVPs
- Tidy and maintain the reception and admin areas
DESCRIPTION
This is a permanent, full-time position with benefits. The salary is $23,000 per annum. Start date is January 3, 2011.
KNOWLEDGE AND SKILLS REQUIRED
- Excellent time management and organizational skills, and working knowledge of office procedures
- Self-motivated with proven ability to efficiently manage multiple projects
- Works well under pressure, good problem-solving skills
- Good verbal and written communication skills
- Knowledge of customer service principles and practices
- Keyboard skills
- Proficiency with Windows and Microsoft Office (Word, Outlook, Excel, Power Point)
- Proficiency with office equipment (copier, printer, fax, phone systems)
- The ability to work flexible hours on occasion
- Demonstrated success at working in a flexible, dynamic, fast-paced environment
- Some administrative experience is required
- Knowledge of the Manitoba music industries an asset
